A temporary to permanent position
As part of a small, evolving private Family Office, you will be capable of working on a wide variety of tasks and projects ranging from A-Z and of wearing different hats. The key elements of the role are to cover maternity leave and thereafter assisting the Office Manager through advance-planning, strong communication, flexibility and adaptability.
?Perform a variety of administrative or executive support tasks that may be highly confidential and sensitive.
?Managing active action lists to keep tasks moving forward (yours and others)
?Ensure high standards of accurate record keeping and filing (hard and soft copy) as well as ensuring templates are up-to-date and relevant.
?Make travel arrangements and prepare itineraries. Making all necessary arrangements for immediate and extended family members, as well as ensuring all runs smoothly during the trips.
?Manage documentation for the family, including passport and visa renewals, health insurance claims, monitoring loyalty programs.
?Negotiate maintenance related issues for personal property and handle the coordination of work done on personal property.
?Coordinate with household staff to ensure smooth day-to-day operations, ensuring everyone has what is needed to succeed in their role.
?Organise and accept deliveries.
?Make personal purchases and errands.
?Arrange appointments and restaurant reservations.
?Assist with hosting private events.
?Attend to work and family needs including after hours or on weekends via phone or email
?Overlook office staff as well as personal/family affairs
